If you’re new to the idea of creating promotional print pieces for your business or organization (like postcards, fliers, or brochures), a question that may pop up during discussions with your printer is do you have an indicia? And no, it’s not a question about a pre-existing medical condition. An indicia is a postage-stamp-sized box with text indicating postage has been pre-paid and includes a license or permit number identifying the pre-paid account with the post office.
How Do I Get an Indicia?
If you’re planning on sending a significant amount of direct mail pieces on an ongoing basis, contact your local post office or visit the USPS website and they’ll help you get your own indicia.
However, if you’re only occasionally sending out direct mail pieces, commercial printers that offer direct mail services may allow you to use their indicia in which case you wouldn’t need to procure your own.
Can I Use an Indicia for Everyday Postage?
No. An indicia can only be used when sending out batches of mail in bulk (i.e., 200 or more pieces) where each piece is identical in size and weight.
How To Use an Indicia
Once you’ve obtained your own indicia, or if you’re using one supplied by your printer/mail service, the post office has guidelines and rules for where to place the indicia on your printed piece. Generally, an indicia is printed where a postage stamp would normally be affixed. When designing a direct mail piece, your graphic designer can format and place the indicia following the post office guidelines. Or, your printed will insert their indicia before the piece goes to press.
